JOB LEVEL : Paterson grade C2

KEY PERFORMANCE AREAS

The incumbent is expected to deliver on the following detailed key performance areas:

  1. Provides input into Supply Chain planning and policy development. 
    1. Provides input into the development of the Supply Chain operational plan. 
    2. Provides input into the development of Supply Chain policies and procedures. 
  2. Ensures alignment with relevant legislation. 
    1. Compliance to all relevant Supply Chain legislation 
    2. Compliance to all internal policies and procedures with regard to Supply Chain Management 
  3. Conducts quotation and bid requests. 
    1. Invitation, evaluation and finalisation of quotes in line with policy and applicable legislation 
    2. Invitation, evaluation and finalisation of bids in line with policy and applicable legislation 
    3. Preparation of all documentation pertinent to above such as score sheets, evaluation reports, comparative schedules, other relevant reports, purchase orders, letters of appointment etc. 
    4. Inform line manager of any irregularities relating to the quotation and bid process. 
  1. Prepares and submits Supply Chain reports. 
    1. Preparation and submission to line manager of Commitment reports 
    2. Preparation and submission to line manager of Exception reports 
    3. Preparation and submission of BBBEE targets and reports  
    4. Preparation of service level agreements and contracts 
    5. Preparation and submission to line manager of other relevant Supply Chain reports 
  2. Maintains a controlled Environment. 
    1. Accurate filing of all Supply Chain documentation 
  3. Meeting’s facilitation and secretariat support
    1. Preparation and facilitation of committee meetings when required. 
    2. Taking of accurate minutes at Supply Chain meetings 
    3. Typing up of minutes within agreed timeframes 
    4. Attends Management meetings during line manager absence. 
  4. Process payment documentation 
    1. Receipt of invoices with timely processing  
    2. Supporting documentation for requests, quotes, bids, invoices etc. to be attached to all relevant submissions and reports. 
  5. Providing guidance on Supply chain aspects 
    1. Provides guidance to all staff members on Supply Chain aspects. 
  6. Ad – Hoc Duties
    1. Provides management with information as requested during line manager absence. 
    2. Assignments from CEO/CFO/ECS as and when required.
  7. Teamwork
  1. Performing priority tasks during co-workers’ absence 
  2. Ability to work closely with others.
  3. Being pro-active in assisting others
  4. Contribution to projects meetings and brainstorming sessions
  5. Mentoring and coaching of staff and interns
  6. Liaising with various internal departments for smooth and quick turnaround of deals

Requirements

APPOINTMENT REQUIREMENTS

  • A minimum of an appropriate recognised Diploma in Supply Chain Management, Public Management or Business Administration. 
  • At least 4 years’ experience working as a Supply Chain Management Officer or a similar role. 
  • Superior analytical and organizational skills with excellent attention to detail and high degree of personal initiative
  • Competency in MS Office and relevant databases and software
  • Customer focus and bottom-line orientation
  • Well organized with excellent time management skills
